It depends on the type of trip. For safaris or big family trips, generally a year is safe to start. For fully serviced trips, at least 60 days before and anything under that could impose a rush fee. There's no time limit on hotel only bookings, but it's all subject to the hotel availability.

The travel planning fee for your scope of work is due before quoting. Once it’s received, that initiates our engagement. All other partner / supplier payment policies depend on their terms and conditions.
